About Role

We are looking for a Technical Writer – Proposals & RFP Response who can own the entire proposal lifecycle—from identifying opportunities and researching RFPs to developing winning strategies, coordinating stakeholders, writing compelling responses, and submitting high quality proposals. This is not a documentation-only role and not simply an RFP processing role. We are looking for someone with a proven ability to identify, qualify, research, write, and win proposals. You will work closely with the CEO, Solution Architects, Delivery Teams, and Sales to create technically sound, persuasive proposals that convert opportunities into business.

What You'll Do

  1. Opportunity Research & Identification
    • Monitor RFP portals, procurement websites, government tenders, and enterprise procurement platforms to identify relevant business opportunities.
    • Evaluate RFPs/RFIs/RFQs against company capabilities and qualification criteria.
    • Research prospective clients, competitors, incumbent vendors, and procurement history to develop informed proposal strategies.
    • Present opportunity assessments and bid recommendations to leadership.
  2. Proposal & RFP Ownership
    • Own the complete proposal lifecycle—from opportunity qualification through submission.
    • Parse RFP documents to extract compliance requirements, evaluation criteria, risks, deliverables, and timelines.
    • Develop proposal strategies, win themes, differentiators, and executive messaging.
    • Write Executive Summaries, Technical Approaches, Implementation Methodologies, Staffing Plans, Pricing Narratives, and Value Propositions.
    • Coordinate reviews and ensure proposals are compliant, compelling, and submission ready.
    • Maintain proposal schedules and ensure deadlines are consistently met.
  3. Technical Documentation
    • Collaborate with engineers and solution architects to translate technical concepts into client-friendly language.
    • Develop capability statements, solution architecture overviews, service briefs, case studies, and proof-of-concept documentation.
    • Create and maintain Statements of Work (SOWs), implementation documentation, and reusable proposal assets.
    • Maintain a centralized proposal content repository, including reusable responses, resumes, project profiles, and boilerplate content.
  4. Collaboration & Process Improvement
    • Partner with the CEO on strategic messaging for high-value pursuits.
    • Work closely with Sales, PMs, QA Leads, Architects, and Delivery teams to gather technical inputs.
    • Improve proposal workflows, review processes, compliance checklists, and version control.
    • Identify opportunities to leverage AI and proposal automation tools to improve quality and efficiency.
  5. Proposal Analytics & Performance
    • Track proposal performance metrics including:
    • Win rate o Submission volume
    • Average turnaround time
    • Proposal quality metrics
    • Reasons for wins and losses
    • Present proposal performance dashboards and recommendations for continuous improvement.
    • Build and maintain a repository of successful proposals, lessons learned, and best practices.

Requirements

  1. 3+ years of experience in proposal writing, RFP response management, pre-sales content, or bid management within an IT Services or Software company.
  2. Prior software development or engineering experience is mandatory. Candidates without a technical background will not be considered.
  3. Demonstrated experience owning end-to-end RFP responses from opportunity identification through final submission.
  4. Proven track record of contributing to winning proposals, with the ability to discuss: o Proposal win rates o Number and value of proposals handled o Types of opportunities won o Individual contribution to successful bids
  5. Strong understanding of software engineering concepts including SDLC, APIs, cloud platforms, software architecture, QA methodologies, Agile delivery, and enterprise application development.
  6. Excellent business and technical writing skills with the ability to tailor messaging for executive, business, and technical audiences.
  7. Strong research, analytical, and stakeholder management skills.
  8. Ability to independently manage multiple proposals under aggressive deadlines.

Good to Have

  1. Experience writing proposals for Government, Enterprise, Healthcare, BFSI, or International clients.
  2. Experience with AI/ML solution proposals or AI-enabled software development offerings.
  3. Familiarity with proposal management platforms such as Loopio, RFPIO (Responsive), or similar tools.
  4. APMP certification or exposure to APMP proposal management methodologies.
  5. Experience with AI-assisted proposal development tools (ChatGPT, Microsoft Copilot, Gemini, Claude, etc.).
  6. Familiarity with Confluence, Notion, Google Workspace, Jira, and Figma.
  7. Experience working in IT Services, Digital Engineering, Consulting, or Product Engineering organizations.
